Activities & Travel Expenses in ZEP Clock
With the new job function in ZEP Clock, all working hours can be compulsorily assigned to a specific job. In this way, it is always possible to understand exactly what has been worked — an ideal basis for better evaluations and greater transparency.
In addition, a new travel expenses module is available: Travel activities can be recorded directly, additional catering expenses are calculated automatically and receipts are stored digitally. All travel expenses are clearly available in the evaluations. Both functions are easy to activate, the travel expenses module directly in self-service.

ZEP 7.12
Task management 🆕
A new task management system is now available directly in ZEP — without an additional module and at no additional cost. Under “Tasks,” users can create and manage personal to-dos. Project managers and project staff also have the option to create and assign tasks for other team members.
A task board per user and project provides a clear overview. Tasks can be assigned to the respective status via drag & drop. Status and priorities are defined centrally in administration and managed across projects.
Five new interfaces 🆕
ZEP now has five new integrations. HR data can be shared with Sage, Taxmaro, and Zoho People. In addition, projects and tickets can be synchronized with JIRA and Linear. As part of this, the interface marketplace was also visually redesigned.
HOAI calculator for offers 🆕
An integrated HOAI calculator is now available for preparing offers in ZEP. All service phases and fee zones are fully covered, and the fee is calculated automatically. The individual phases, including planning data, can be transferred directly to a project structure at the push of a button and then conveniently billed.
ZEP 7.11
Inbox 🆕
The new document mailbox is now available, with which multiple documents can be collected centrally and processed efficiently. Incoming documents are first stored in the document mailbox and can be further processed from there.
Documents can be treated as follows:
- Accept: Documents are assigned to a project and, optionally, to an employee. Only then is a complete document with document number created.
- Reject: Rejected documents can then be deleted. It is not possible to re-accept.
The document mailbox can be found as a tab in the “Documents” menu item. The area is visible to admins and controllers, with controllers only having read rights.
Available for Professional customers as well as Compact customers with activated “Sales & Costs” module.
Documents without employee assignment 🆕
From now on, documents can also be created without being assigned to an employee. This option is available when accepting a document in the document mailbox and in document analyses (projects, suppliers, employees).
Documents without employee assignment are listed as “without employees” in evaluations and statements and are separately visible there.
Mailbox Mailbox (outlook)
A mailbox function will soon be available, which is currently already in development. Incoming email attachments can then be automatically created as documents in the document mailbox and processed directly.
ZEP 7.10
Vendor Management 🆕
With this release, there is a new “Suppliers” menu item available. Administrating users can create and manage suppliers here. The menu item is visible to Admins and Controllers, with controllers having read-only access.

New table concept

ZEP now has a New Help CenterWhich can still be reached via the button at the bottom right and which you can now also use at any time You can contact our support directly. There you will find all important information about ZEP in a clear overview and get quick answers to your questions.
ZEP 7.8
Track working time with activities 🆕
With the new setting, all working hours can now be recorded with an activity. This allows for precise documentation of what exactly was worked on, improving transparency and reporting options.
The feature can be activated under:
Administration → Working Time → Settings → “Record activities in ZEP Clock”
After activation, a new Activities section will appear for managing all activities.
Important: Once this feature is active, all users must select an activity when recording their working time.
New module: Travel Expenses 🆕
With the new Travel Expenses module, users can now record travel-related activities in addition to regular activities. ZEP Clock automatically calculates per diem allowances (VMA) and enables digital receipt capture.
Integrated reports provide a complete overview of all incurred travel expenses.
The module can be easily activated in Self Service.
ZEP 7.7
New dashboard widgets 🆕
Three new dashboard widgets are now available, which are specifically approved for administrators and department heads because they contain sensitive employee data:
- All overtime — Shows the overtime and hours worked by all employees at a glance.
- Billable hours — provides an overview of billable and non-billable hours for all employees.
- All annual vacations — Shows all vacation accounts of your employees, including vacation plans that have already been approved and planned.
With the widgets overtime and annual leave The displayed status refers to the evening of the previous day. Current hours or newly submitted vacation requests from today are therefore not yet included.
Internal hourly rates at process level 🆕
From now on, in ZEP, you can internal hourly rates directly at process level Define. As a result, internal project costs can be calculated and evaluated even more precisely — for a more transparent and accurate project evaluation.
