Connect Lexware to ZEP

Lexware integration is part of the ZEP “Export for Accounting” module. After licensing, select in ZEP under Administration > Export for Accounting > Settings Select the “Lexware” format and store your accounts, BU keys and cost centers.

You then export invoices or cost statements as a CSV file and import them into Lexware via File > Import > ASCII.

Who is Lexware integration with ZEP suitable for?

The integration is suitable for service and consulting companies that use ZEP for project times and billing and Lexware as an accounting solution. They particularly benefit teams that want to transfer travel expense reports, invoices and master data directly to their accounting department without manual rework.

Can invoices that have already been exported be re-exported?

Yes ZEP allows you to export a period of time repeatedly. By default, a new export only includes invoices that have not yet been exported. If all invoices for the period are to be reissued, the option “including bookings that have already been exported” can be activated. The status of an invoice is frozen during settlement and remains unchanged even during subsequent exports.

How are split bookings handled during Lexware exports?

When an invoice or cost statement is divided into different accounts, cost centers or cost units, ZEP automatically creates a split booking in Lexware format. This consists of a header with the total amount and individual lines for each account or cost center combination. Any rounding differences are automatically posted to a configurable rounding account.

Is the Lexware integration a separate module or included in ZEP?

The Lexware integration is part of the ZEP “Export for Accounting” module and not a separate add-on. With this module, you can export data either in Lexware, DATEV or general format — depending on which accounting program you use.

What data can I export from ZEP to Lexware?

With the “Export for Accounting” module, you can export invoice data, verified cost statements including VMA, km money and receipts, as well as creditors (employees) and debtors (customers) in Lexware-compatible CSV format. The file can be read directly into Lexware using the ASCII import.
